Decathlon Sports Club is the platform that unifies in-store sports experience registration across all of Decathlon Taiwan’s locations, offering online sign-up for hundreds of experience sessions — yoga, climbing, diving, and more. The platform serves three distinct types of users: Decathlon staff who manage events and recruit coaches, brand-approved partner coaches, and the members who actually sign up to attend. Its development wasn’t a single, one-shot delivery — it’s the product of more than seven years of continuous iteration, evolving into a platform that now has to serve multiple roles while staying tightly integrated with the brand’s global systems.

The platform’s homepage was designed with multiple discovery paths, so members with different needs can quickly find the right event:

  • Multi-criteria search: members can filter by store, location, partner, sport type, and event timing
  • Sectioned browsing: content is organized by region (north/central/south), family activities, and adult activities, so members can browse quickly by where they live or who they’re signing up for
  • Popularity-driven recommendations: the system tracks view counts per event and automatically tags high-traffic events as “trending,” while the internal team can also manually add promotional tags like “New Year Special” as needed
  • Seasonal theme pages: for specific campaigns or long-term partnerships with other brands, the team can independently design themed pages that showcase a curated set of events — without rebuilding an entire page for every campaign

This discovery system turns the platform from a plain registration form into a content platform that can flex its presentation to match the brand’s marketing rhythm.

When a member clicks into an event, they see the full description, schedule, location, equipment recommendations, and coach information. For events held at a Decathlon store, the system also integrates venue booking — the time slot the event occupies at the store automatically syncs to the team’s shared calendar system, preventing double-booked venues.

Once registration starts, the system runs two checks: whether the member has already registered for that same session, and whether there’s an unfinished payment transaction pending — preventing duplicate sign-ups or stuck transactions. The registration form dynamically shows adult or child fields based on the event’s age restrictions, and a member can register themselves plus up to three children for the same session. After confirming registration and the amount due, the system triggers the payment flow (for paid events), completing registration the moment payment succeeds.

Because registration involves real payment, the system needs to reliably notify members of their registration result and event reminders once payment completes. The team built a fully automated notification system:

  • Email and LINE notifications fire automatically once registration completes — members don’t have to wait for manual confirmation
  • Coaches can also send pre-event notices or additional information to registered members through the system
  • The entire notification flow runs with zero manual intervention, from the registration trigger to message delivery, cutting down on manual errors and member wait times

From project work to a long-term operating partnership

As the platform’s members, coaches, and registration volume kept growing, the team also built a full day-to-day operations model to keep the platform stable over the long run:

  • Daily manual testing: routine manual checks on both the front-end member registration and payment flow, and the back-end coach application and approval flow, to catch issues early
  • Background scheduled-job monitoring: automated jobs in the system (like sending notifications or organizing data) run on schedules in the background, with a standard monitoring process the team built to make sure those jobs run reliably and issues get caught immediately
  • Routine maintenance: for high-frequency tasks like campaign event setup and homepage content updates, the team built clear maintenance entry points and instructions, lowering the learning curve for internal staff’s day-to-day work

Building this operations model also shifted the engagement from project-based quoting to a fixed monthly operations arrangement — the brand no longer has to go through a new quote every time something changes, and the team can keep improving the platform at a steady operating cadence, responding to ongoing operational needs in real time.
